INDUSTRIAL TRAINING STANDARD OPERATING PROCEDURES (for students)
effective January 2014
STEP 1 (Look for a Company)
- Begin looking for a potential company, ideally one trimester before your scheduled internship
- Ensure that the companies you apply to are relevant to your field of study
- Be aware that some companies take time to respond, or may not able to accomodate your internship dates
- Also be aware that some companies need to be verified by the university, which will also take time
- So apply early to avoid any complications later into the trimester

If you wish to apply for an internship outside of Malaysia (also known as an outbound internship), you will first need to write an application letter to the Deputy Dean explaining why you wish to go for an internship overseas

Outbound internships will also require additional documents such as (but not limited to)
- A valid passport
- A valid visa to the destination country
- Medical insurance statements
- Any additional documents required by the destination country

UTAR cannot provide financial aid for outbound internships; all travel and accomodation costs must be borne by the student
STEP 2 (Verification of Company)
- If the company/organisation requires verification from the university, fill in your details in the Verification Letter
- Email the letter to the Faculty General Office (FGO) at fasfgo@gmail.com
- Collect the letter from the FGO after three working days
- If you need an urgent response, inform the FGO and make a special arrangement
STEP 3 (Acceptance by Company)
- If you have been offered a placement and you have accepted the offer, the Faculty requires the company to fill in the Company Acceptance Letter
- The company can also send the Faculty their own Company Official Offer Letter bearing details such as:
- Allowance paid (if any)
- Duration of internship
- On-site supervisor's name and contact information
- Company address and stamp
- Make a copy of the Acceptance Letter/Company Offer Letter and submit them to the FGO latest by Week 13 (before pre-registration begins)
- Keep a copy of the original letters for yourself
- If the company wishes to send their own documents, have them send it to:

STEP 4 (Indemnity and Confirmation)
- Once you have been accepted by the company, fill in the Indemnity Letters
- One letter must be signed by you (the student), and the other must be signed by your parents/guardian
- Fill in your details and your company's information in the Google Docs
- Fill in the Academic Advisor Approval Letter and get your Academic Advisor's signature for the internship placement
- Upon receiving the Acceptance Letter, Indemnity Letters, Academic Advisor Approval Letter, and completed Google Docs, the Faculty will print a Confirmation of Placement Letter
- For local internships, the submission deadline for all documents is one month before the starting date of the internship
- For outbound internships, the submission deadline for all documents is three months before the starting date of the internship
- The Confirmation of Placement Letter must be submitted to the company before or during the first day of your internship
STEP 5 (Your First Day)
- On your first day of work, bring along your:
- Identity Card (I/C) and UTAR Student ID
- Indemnity Letters
- Confirmation of Placement Letter
- Student Appraisal Form
- Academic Staff Visitation Report
*Remember to pay all fees before the deadline set by the university, or your training may be denied or delayed
STEP 6 (Visitation)
- Expect a visit by a UTAR academic staff during your internship between Weeks 9 to 13
- Print out a copy of the Academic Staff Visitation Report and fill in your details for the visiting staff
- If your supervisor is not available, you may ask another employee to sign the Academic Staff Visitation Report
- You may also submit the Student Appraisal Form to the academic staff if it is ready
STEP 7 (Oral Presentation- Week 14)
- Students must return to the campus for the Oral Presentation, which is scheduled for Week 14 at the Kampar Campus
- The Oral Presentation list will be uploaded onto the WBLE after Week 8
- Students must prepare and submit the following documents to the examiners during the oral presentation
- Students who are absent for the Oral Presentation will fail the Industrial Training unit
- Students who are 30 minutes late or arrive after their allotted time slot will be awarded zero marks for their oral presentation
